Gaithersburg City Hall and MPIA Requests

Gaithersburg City Hall sits at 31 South Summit Avenue, Gaithersburg, MD 20877. The City Clerk's Office handles Maryland Public Information Act requests for city records. You can reach the clerk at 301-258-6300 or by email at cityhall@gaithersburgmd.gov. Office hours are Monday through Friday, 8:30 AM to 5:00 PM.

When filing an MPIA request with the city, send your request to the City Clerk at the Summit Avenue address. Mark the envelope "ATTN: City Clerk/MPIA Request." Your request should state the records you want, a date range, your name, and your preferred format. Electronic copies often reduce copy costs. The city must respond within 30 days. Extensions are possible but must come with written notice explaining the delay.

City records that go through the Gaithersburg clerk include council meeting minutes, city ordinances, business licenses issued by the city, zoning files, code enforcement actions, and building permits. These are separate from Montgomery County records. If you are not sure which office holds a record, start with the city clerk and they will point you in the right direction.

Gaithersburg Police Department Records

The Gaithersburg Police Department (GPD) is a separate agency from Montgomery County Police. GPD handles incidents inside city limits only. The main station is at 16 South Summit Avenue, Gaithersburg, MD 20877. The Records Division mailing address is 14 Fulks Corner Avenue, Gaithersburg, MD 20877. Call them at (301) 258-6400. The Records Division is open daily from 8:00 AM to 9:00 PM, which is more accessible than many police records offices in the state.

To request a police report from GPD, you can call, email at police@gaithersburgmd.gov, walk in, or mail a written request. There is no dedicated online portal for GPD records at this time. You will need to provide the names of involved parties, the date and location of the incident, and a case number if you have one. Reports are typically available after the case is complete or the investigation is no longer active.

Records that GPD makes available include completed incident reports, accident reports for involved parties, and crime statistics. Active investigations, juvenile records, and internal affairs files are not public. Victim and witness identifying information is redacted before release. If the incident was in an unincorporated part of Montgomery County near Gaithersburg, Montgomery County Police would hold the report, not GPD.

Montgomery County Police also serves areas adjacent to Gaithersburg. This page shows how to file an incident report with MCPD for incidents outside city limits.
